Using the Bunker Bot

The club's Discord bot keeps track of what is in the bunker, who has it, what everybody agreed to do, and who turned up. You will use about six of its commands. This page is those six, plus what to expect when it messages you.

Every reply is private. Only you see what the bot says back to you, so type commands wherever you like — nothing you run spams a channel. Type / in any channel and the list appears.

Finding parts

Every part in the bunker has a serial like BURC-123 on its label. The QR on the label opens the part's page; the serial is what you type.

Searches by name, part number and what it's for. Try the plain-English name first — load cell finds the cells and the amplifier boards.

What a project is, who leads it, and what hardware it's holding. /resources lists every piece.

The three numbers on an item card: on hand is what physically exists, reserved is committed to a project, and available is what you can actually take. Ask about available.

Borrowing

A lead checks a part out to you. You bring it back.

What you're holding, when it's due, and anything waiting on a lead's approval.

Bring it back. The picker only offers what you have out, so you can't return the wrong thing.

Something's broken, missing, or the count is wrong. A lead sees it. This is how the inventory stays honest — please use it.

Some parts need a lead's OK before they leave the bunker. If yours does, the request goes to the E-Board and you'll be told when it's decided. Nothing moves until then.

If you still have something after its due date, the bot will DM you once a day until it's back or a lead extends it. Returning it stops the messages immediately.

Asking for things

Ask for a part to be brought out of the bunker to the next meeting. A lead grabs it on the way in.

Ask the club to buy something. Use the part number exactly as the supplier lists it — that's what gets pasted into the order. A lead approves or not, and you're told either way.

Add a reason to both. "For the ARCTOS wrist" gets approved faster than nothing.

Tasks

When you take something on at a meeting — or a lead hands you something — it becomes a task with your name on it.

Close one. Start typing and it offers yours.

You can't move until somebody else does something. Say who and what. The bot stops chasing you and starts chasing them.

/unblock/unblock task:…

You were the one being waited on and you've done your bit. The other person is told they can carry on.

Most of the time you won't need these — the bot's messages carry buttons. Done and Unblock in a DM do the same thing as the commands, one tap, without going back to the server.

Nothing is ever assigned to you automatically. The bot listens to meeting recordings and proposes tasks, but a person picks who does each one. If you get a task you didn't agree to, the lead who assigned it is named on it — talk to them.

Meetings

Check in to the meeting that's running. There's also a pinned button that does the same thing. Once per meeting; it only works while the meeting is open.

Your month as a grid, your streak, your rate.

Meetings show up on the server's event calendar. The bot reads that calendar, so RSVP-ing there is enough for it to know a meeting exists.

Meetings are recorded so the club can keep minutes. There's a notice in the bunker and somebody says so before recording starts. The audio is deleted as soon as it's been transcribed; the transcript lives on the club Notion.

When it messages you

The bot DMs you for a short list of reasons, and never otherwise. If a DM surprises you, it's one of these.

You've missed the last two meetingsNothing. It's a nudge, not a summons. It sends at most two, ever, and then stops for good.

The second missed-meetings nudge asks why you stopped coming — school load, lost interest, project ended. Answering is optional and it genuinely helps the E-Board run the club better. Nobody sees your answer but them.

To stop all DMs: Discord → server → Privacy Settings → turn off Direct Messages. The bot notices the send failed and mentions you in a channel instead for anything that matters.

What it knows about you

Your Discord ID and server nickname, which meetings you checked in to, what you've borrowed, what tasks you've taken, and what you've asked the club to buy. All of it is in the club Notion where any E-Board member can see it. None of it goes anywhere else. There is no server — the bot runs on a free Cloudflare account owned by the club, and the only third parties it talks to are Discord, Notion, and the transcription service for meeting audio.
